VoIP, cloud calling and IP-PBX

05 ANSWERS
What is VoIP and how does it work for a business?

Voice over Internet Protocol (VoIP) carries calls over an IP network instead of relying only on traditional telephone circuits. A business VoIP deployment may include IP phones or softphones, call-control software, a suitable network, and a connection to the public telephone network where required. Linx Networks can assess your users, sites, call flows and connectivity before recommending an architecture.

What is the difference between cloud telephony and an IP-PBX?

Cloud telephony typically uses a service hosted in a provider’s cloud or data centre. An IP-PBX uses IP networking for call control and may be installed on your premises or hosted remotely. The right choice depends on control requirements, site connectivity, resilience, security, licensing and ongoing operating costs.

Is a cloud phone system suitable for a company with multiple branches?

It can be. A cloud or hybrid design can connect teams across branches, enable extension-to-extension calling and centralise call routing. Each location still needs appropriate connectivity, network readiness, endpoint provisioning and a continuity plan for internet or power interruptions.

Can an IP-PBX work without internet access?

An on-premises IP-PBX may continue to support calls within the local network during an internet outage, depending on its design. Calls to external numbers and cloud-dependent features may be affected. We recommend documenting failover routes and testing the intended behaviour before go-live.

Can we keep our existing telephone numbers?

Number retention or porting may be possible, depending on your current carrier, number type, location and regulatory or provider requirements. We will need to confirm the numbers, current service provider and migration constraints before promising a porting date.

Phones, hardware and compatibility

05 ANSWERS
Which business IP phones do you supply?

Linx Networks can scope business IP phones and telephony platforms from vendors such as Cisco, Grandstream, Yeastar and Mitel, subject to the exact model, availability and compatibility requirements. The recommended handset depends on user roles, line appearances, headset needs, directory features, power options and the phone system it must register to.

Will any SIP phone work with any IP-PBX?

Not always. SIP is a common signalling standard, but provisioning, firmware, codecs, security settings, feature keys, directory integration and vendor-specific functions can differ. We validate the exact phone model, firmware and PBX platform before confirming interoperability.

Can analogue phones, fax machines or legacy lines be retained?

Often, selected analogue devices or lines can be integrated through an appropriate analogue telephone adapter or voice gateway. The supported interfaces and use case matter, particularly for fax, alarms, lifts, payment terminals and other devices with special signalling requirements. Each device should be assessed individually.

What is a voice gateway used for?

A voice gateway connects different telephony environments, such as analogue or digital telephone interfaces and an IP voice platform. The required gateway depends on the interface type, number of ports, signalling, carrier handoff and the intended call flows.

How do I confirm a product datasheet is the correct one?

Match the full model number and suffix, hardware revision where applicable, regional variant and supported firmware against the manufacturer’s official documentation. Product families can contain different port counts and capabilities, and older datasheets may remain online after a model changes lifecycle status. Ask us to validate the exact SKU before procurement.

Network, security and call quality

05 ANSWERS
What internet bandwidth does business VoIP need?

Bandwidth depends on the number of simultaneous calls, the codec in use, packet overhead and other traffic on the connection. A readiness assessment should consider peak concurrent calls, upload and download capacity, latency, jitter, packet loss and whether voice traffic can be prioritised.

How can we improve voice quality and reduce dropped calls?

Start with a network assessment: check latency, jitter, packet loss, Wi-Fi coverage where wireless phones are used, switch capacity, cabling, power and internet stability. Quality-of-Service policies, correct VLAN design and suitable edge security can help when properly configured. Call quality should be measured during testing, not assumed from bandwidth alone.

Is VoIP secure?

VoIP can be secured, but it needs deliberate configuration. Controls may include strong unique credentials, current supported firmware, restricted management access, secure signalling and media where supported, firewall rules, network segmentation, monitoring and a defined patching process. The exact controls depend on the selected platform and deployment model.

Should IP phones use a separate voice VLAN?

A dedicated voice VLAN is often useful in managed enterprise networks because it can help separate voice endpoints from general user traffic and support traffic policies. The design must account for the switches, DHCP options, phone capabilities, security policy and any PC pass-through ports.

What happens to calls during a power or internet outage?

The impact depends on the design. On-premises equipment and switches need suitable power protection, while external calling may need a secondary internet link, carrier failover or call forwarding. Cloud systems also depend on endpoint connectivity. We recommend defining the required fallback behaviour and testing it as part of acceptance.

Installation, migration and support

06 ANSWERS
What information is needed for a telephony quotation?

Useful details include the number of users and extensions, locations, concurrent calls, existing PBX and carrier services, handset preferences, required analogue or digital interfaces, call queues, auto-attendant needs, recording or reporting requirements, internet links, network equipment and integration needs. An equipment list or site drawing is helpful but not essential for an initial discussion.

How long does installation take?

Timing depends on system size, number of sites, cabling and network readiness, carrier provisioning, equipment lead times, configuration complexity and the migration window. After discovery, we can propose a phased schedule with testing, user handover and a rollback plan where appropriate.

Can you migrate us from a traditional PBX to VoIP without major disruption?

A low-disruption migration is usually planned in stages: audit the existing system, map extensions and call flows, confirm numbers and interfaces, prepare the network, pilot the new platform, and schedule the cutover. The exact approach depends on legacy equipment and carrier constraints, so an outage-free outcome should not be promised before assessment.

Do you provide installation, configuration and user training?

Project scope can include equipment supply, installation, configuration, call-flow setup, integration, functional testing, documentation and user or administrator handover. The exact deliverables are confirmed in the proposal so responsibilities and acceptance criteria are clear.

What support is available after deployment?

Support arrangements depend on the agreed scope and service-level agreement. A proposal should define supported systems, service hours, contact and escalation channels, response targets, exclusions, remote-access requirements and any recurring support fees. Do not assume a support level is included unless it is stated in writing.

Can telephony integrate with a CRM, contact centre or collaboration platform?

Integration may be possible through native features, vendor-supported connectors, APIs or a compatible third-party platform. Feasibility depends on the exact product editions, licensing, versions, data requirements and workflow. Integration scope should be validated before it is treated as a committed deliverable.

Costs, licensing and procurement

04 ANSWERS
How much does a business phone system cost in Nigeria?

Cost varies with user count, phone models, PBX or cloud platform, licences, gateways, network upgrades, cabling, installation, carrier charges and support. Linx Networks can prepare a scoped quotation after the required capacity and features are understood. Pricing and stock should be reconfirmed at the time of quotation.

Are cloud phone systems always cheaper than an on-premises PBX?

Not necessarily. Cloud services may reduce some upfront infrastructure costs but introduce recurring subscription and connectivity costs. An on-premises platform may require more initial investment, maintenance and lifecycle planning. Compare total cost over the intended service period, including licences, support, resilience and migration.

Are licences, updates and support included with the equipment?

They vary by vendor, model and quotation. Some features require subscriptions or additional licences, and support may be sold separately. The bill of materials should clearly identify hardware, software licences, subscription term, warranty, support coverage and renewal costs.

How do you confirm stock and product lifecycle status?

Availability should be checked against the exact SKU with the supplier or distributor at quotation time. We also recommend checking the manufacturer’s current product lifecycle notice and selecting a supported replacement where a model is discontinued or nearing end of support.
